Accounting Associate

Responsibilities:

Assists the Finance Management Team in the operations of the Accounting office.Has direct responsibility for daily office functions.Performs a variety of tasks that require planning and organizing, in addition to routine secretarial duties and bookkeeping tasks

  • Recognizes and assumes responsibility for those repetitive tasks performed by the Finance Management Team, which can be performed within the well-defined guidelines of the position. Performs these tasks with good judgment, tact, and diplomacy, seeking direction on unusual and major issues.

  • Responds to inquiries and general information on routine matter within established guidelines.Acts on behalf of the Finance Management Team to facilitate problem resolution i.e., route calls to others for response and action, answer inquiries, request additional information, resolve minor problems that do not deviate from established policy or procedure, determine meeting agenda, and extend invitations to participants.

  • Acts as liaison with CHS and Insurance companies on all insurance issues.Obtains vehicle insurance for new purchases. Secures insurance certificates as needed.

  • Maintains Kronos time and attendance records for the Accounting department. Assists in payroll processing.

  • Performs various department banking responsibilities.

  • Prepares all contract renewals for signatures, obtains appropriate insurance and other documentation as needed.

  • Maintains internal audit reports and performs reconciliations in regards to Purchase Card program.

  • Ensures the organizational files and records are maintained.

  • Coordinates annual document purging based on the record retention policy.

  • Handles confidential materials and information with discretion including confidential filing.

  • Sets up meetings as requested by Finance Management Team. Records meetings minutes when necessary.

  • Performs various routine clerical tasks (computer, filing, copying, faxes, etc.).

Requirements:

  • AAS Degree in Secretarial Science, or High School diploma/equivalent and 3-5 years secretarial experience.

  • Computer literacy. Working knowledge of Microsoft Word, Excel, email, and software specific to Division needs.
