Practice Office Manager

The Office Manager provides overall administration and coordination of department activities and programs in a physician practice/ambulatory setting.Supports one to three physicians in a single location.
Communicates departmental needs to the Physician.
Manages/Assists with projects associated with the practice
Promotes professional development opportunities within the department.
Oversees all day to day business operations, including accounts payable and receivables, budget analysis, staff payroll, personnel interactions, billing, email and phone communications.
Ensures adequate staffing and appropriate work schedules with oversight of recruitment, training, directing, coaching and counseling of staff.
Assists administration in monitoring expenses, identifying variances and preparing and reviewing monthly statistical reports and provider productivity.
Prepares data for operating budget for the practice collaborating with the Director of Practice Management.
Updates all policies and procedures to insure compliance.
Ensures that all employees and providers are apprised of newest information available pertaining to the efficient operation of the practice.
Manage inventory control, ordering supplies, marketing, and other service issues.
Responsible for the oversight and monitoring of staff, use of paid time off and payroll processing and associated work product(s).
Provides leadership and direction in accordance with department goals and policies.
Responsible for banking duties, deposits, withdrawals, and reconciliation.
Processes accounts payable and receivable in an accurate, timely manner, serving as liaison with billing staff.
Works closely with Revenue Cycle team to monitor improve A/R aging, working to improve revenue projections set forth within each department's budget.
Manages accounts payable.
Reconciles changes to office schedules, patient/list sign in sheets, hospital census, logs, etc. to communicate and report discrepancies.
Maintains liaison with Director of Practice Management, physicians to coordinate practice business, accomplish directives to facilitate the resolution of problems.
Coordinates marketing activities for practice.
Responds appropriately to the special needs of each group served specific to age, language, gender, culture, religion/spirituality, economic background, education or literacy, developmental or cognitive disabilities, physical and developmental disabilities.
High school diploma or GED with concentration of courses in Secretarial Science, Associates Degree in Healthcare or Business Administration required. Bachelor's Degree preferred.
Knowledge of Outlook, Word, Excel, Database and Power Point required; Must be flexible and able to work in stressful environment.
At least 5 years administrative /clinic management experience; competence in applying general operational and personnel practices, accounting /budgeting principles and coordination of clinic administrative functions.
